Script for Support Course Training – April 2022 Review and make updates: • Add Course Code the course using required format • CSTCM Cost Center – from chart – look up what theirs is When you are ready to create a course, go to Virtual Office then select the Event Management Tab Select Events > Course Templates and select Create New Template Copy and Paste or type the data into the system: Several fields may not be mandatory in the system, but they are mandatory for us. • Course Title – Mandatory use TEST Robin Course for US Invivo Training: • Course Code – Mandatory – Hub and Spoke we need pattern of the chart, (SHOW). Do you have CS TCM IDs for all your courses? • Min – Not mandatory, but will carry over into Events • Max – Not mandatory, but will carry over into Events • Category – Mandatory - Invivo for your courses • Language – Mandatory this one is for the Triggered emails, so you want to select English for your courses, this will then carry into the event. • Learning Tags, not using • Pricing Bands, not using • Course Level – Select one from dropdown • Feature in portal, not using • Company – will be AM • CPD, we are not using this field. I believe you have points for your courses, but that’s all worked out with VO on your certificates and set up • Event Template, not using • Scores Template, not using • Image, not using, you will add to Class Shell as you do now • Course Summary, LMS Summary, LMS Course Resources and Related Courses we are not using at this time. • Public Access Included and Excluded; this will populate from the Class Shell in Content Manager and is read only here. • KA ID – this will also populate from Content Manager after you save this tab of the course. It is also read only here. • Event Type – Select Virtual Classroom, Classroom or Workshop. • Language, yes for now we have two… this one is for the PEPconnect User Interface Language. • Description – Mandatory, this is what will display in PEPconnect. • Business Line and Business Area – mandatory and you will select from the dropdown. • CSTCM Cost Center – for you it will be TDC – TC Cary • Content – some countries are using this because they have information pulled into documents and certificates, you can leave this blank. • Registration Requirements – Mandatory, you will select Require Approval, System ID, Facility and Address – No Payment. This is the selection to display your form. • CPD/CEU ID number – again, you have yours all set up with your Content Manager certificates, so you will leave this blank. • VO Learning Path Name - If you would like to assign prework to your courses, or postwork a learning path can be created. We are then populating this field with the name of the Learning Path, which is the course name. There is no easy way to tell which courses have a learning path, so by adding this here we can see easily that it has a learning path and its name. TEST Robin Course for US Invivo Training • Contact Group Email Address – here you should add your “group mailbox” contact. This field will carry over into the Events. Then in the Approval email notification we have “If you have any questions regarding this event, please contact:” Not mandatory, but good to have. • Certificate Source – Mandatory. You will select Content Manager for all of your courses since they are managed in Content Manager • Approval Email Template Note o Since the Approval email will be sent when someone registers some Training Centers would like to inform customers that more information will follow for logistics, or maybe that final confirmation will be communicated once the class minimum is met. This field gets pulled into the Event and they can change if necessary, but we added at the course level so the Admins didn’t have to add it to all their events, because generally it’s the same EVERY time. • Do NOT italicize Syngo – Yes or No. So this is a double negative. If for some reason Syngo should not be italicized in the course title, then select Yes. • CPD/CEU Points – Again, all of your points are managed in the certificate, so you would leave this blank. • Course Notes for Admins • Course Requestor, Mandatory – Email address of person requesting course. So we can know in the system who requested. • Course Owner/Group – Mandatory, in test I have US Invivo, I have to create in production system. • Course Notes for Admins – This can be used if you need to make any note about the course for your own reference. • Course Tag – Sometimes we have Test Courses in our department when checking functionality. We would use this to flag the course as Test, so Brenda can remove from reporting. You shouldn’t have any test courses, I don’t think. When done select Save at the top. You will see that the KA ID has been populated. You should probably make note of it. MAKE NOTE OF THE KA ID: __________________________ At this time we are not adding anything to Personnel tab. Future we may need to add “Approved Instructors” which would mean only those instructors could be chosen for events. We can discuss this at a later time. Content Tab – Here PDFs such as Agendas, Logistic information could be uploaded under documents. Only the UK so far is using this. The Approval email doesn’t give the student all the information they need about the logistics etc, so Rosemary in the UK has an email template in the system that she can send out manually. Then these documents are added as attachments to the emails. This is something we can discuss in the future if you’d like to set up emails. Go to Schedule tab. This is where the default number of days is entered along with the default start and end times for those sessions. • Leave Learning Mode as Classroom • Session Start Time and Session End Time – this helps when generating the sessions at the bottom which you will see in a moment. I generally put the most frequent options. Let’s say in this case it’s a 3 day class and the two days are 9:00 to 5:00 and the last day ends at 2:00. I would just put 9 AM to 5 PM here and then when I generate the sessions I will change the end time of the last session to 2 PM. • Generally Daily will be the case. Weekly would be used if the course is maybe one day for three weeks, where it would be split. • Keep all days of the week checked off, unless you NEVER have an event on a weekend. If you don’t have a day picked off, the system will not let you have an event on that day of the week. • In this case, it’s a 3 day daily course, so I will keep Every Day as 1 and Number of sessions will be 3. • Registration Deadline – this is the number of days prior to the start date that the online booking is open on PEPconnect. This can be changed at the event level. • Select Generate Sessions o You will see that 3 sessions were created o Since the last day ends at 2:00 I can use the three dots to change that ▪ Select Edit Session and then change the time ▪ Then select OK ▪ Now you see the last day’s end time has updated. Currently we are not using anything on the Resource Tab. This is new functionality where we can reserve specific Rooms or Equipment that will carry over into the event. Maybe in the future some Training Centers will want to use this. We can have further discussions in the future. Finance Tab • Since you are using your registration form, I don’t think anything needs to be entered here. Maybe we need further discussions, I think you can still have a price shown, but the register button will bring up your form. Achievement Tab –COME BACK TO THIS I don’t think we are putting Achievements on courses for US Inivio • This is where we set up the Passing Rules. • Select Edit o If Content Manager certificates are being used, then this should be set to Enabled then Achievement Valid From should be set to Classroom End Date and Allowed Sessions should always be zero. o So when the Admin marks the student as Attended, they will automatically be set as passed in the system. o For some training centers they have a “paper test” so I have this as disabled. The admin then has to mark them as attended but also indicate in the event which achievement/certificate the student should get. South Africa and some others use this. • If Administrate Certificates are being used (as noted on Set Up), then select Add Achievement. And in this case since there is only one Achievement, it will be when passed. So the Class Shell was created in Content Manager once we saved the Set Up Tab of the course. When you are ready and all information is added, select Publish so that the Class Shell status is Active. Now, if I go to Content Manager > Instructor Led, and search on the title we can see the course is now there. Make sure Status is ALL or Imported. The yellow means it is an imported from ADM and the class shell meta data etc has not been updated yet. Now we need to update the Class Shell. I will select the pencil icon to edit the course. Here you can see that several fields are grayed out since they come from Administrate. The first thing I am going to do is Assign it to a Topic. Select Assign to Topic and from the Excel file, I can see where this needs to go. • Select the Language – English • Select the Training Area - General Laboratory • Select the Topic - Events • Then select Save • Name, Type, Language, Short Name and Code are populated and read only • Assign Assessment – if Applicable • Friendly URL • Keywords • Title • SEO Metadata • PEP 2.0 Will be checked off since the course is published in the Event Management tool • Standby and email address if applicable. • Hide from Catalog would mean that the Course does not show in the PEP catalog. Some training centers do not allow online registration by customers via PEP. • Add the image • Group Access • Country Access • Subscription access if applicable – I have NEVER had one of these • Product lines • Areas of Interest • Job Roles • Specialties • Effective Date • And Quality Identifier At this point I just go over it all again to make sure all looks good and then I submit. A message will pop up that the class shell will change from Imported to Active or Inactive. It will be Active as long as the ADM course is Published. If the ADM course is in Draft it will be Inactive. So going back to the Classes page, we can see that this is active. Then when you are ready, you can go ahead and request that the course be released by the support team. So now we need to get it released– Erinn, can you do that for us in test: Shell ID: ______________ Training ID Language Tier Discipline Area General 60000059 English General General Laboratory Healthcare Laboratory So now that the course is released, we can create the Learning Path with the prework. In VO I am going to select Content. As soon as a Class Shell is released, an empty learning path is automatically created You can use the search at the top to find the Learning Path. Be sure to change the country if necessary. We will look for: TEST Robin Course for US Invivo Training You can see that the Type is Event and the Status is Inactive. Selecting Edit it shows the Name Language Type Course Title/Class Shell name Description of Course Countries – note, if a student is from a country not on this list, they will see the assignment of the learning path but it will appear empty. Siemens Products – from the course module Employee only or not. From here I could select Add Content, but I am going to Cancel and show you the second place to add content. Note future functionality we will have the ability to have a Certificate on a Learning Path, and we will be able to “link” courses together in a Learning Path, so if there are several different courses they need to attend. Then maybe after they complete all of those individual courses, they get an over all learning path certificate. From the main search screen select Content. Online training, PDFs, Videos and Assessments can be chosen. Over to the right, you see Prework and Post work is currently empty, but the Event shows the Course. This is locked because it cannot be removed. But I can also search by name. If I search by name, I generally use the % as a wildcard and use part of the name. There is also an advanced search that gives some additional options. The three dots give details of the learning object. Select the plus sign to add to the Learning Path. You can see it turns green, the plus became an X. The X can be used to remove a Learning Object either from the search results or over to the right, where you can see it was added as prework. Continue to search and add the additional Learning Objects. Select Clear to clear out the search. Once you have everything added, you can click and drag to change the order. So if there was any Post-Work, you will need to drag that down. There is no Save, so you can select Back to Learning Paths. You will see that the Last Modified Date has been updated to today. The last step is that it needs to be Activated; this is done by selecting Activate. So now anytime a student is registered into an Event of this course as Approved, they will be assigned the Learning Path. • Approved Students already registered in past events will not be assigned the learning path. • If new students are added to Events in the past, then they will be assigned the learning path. • Learning Paths should NOT be deactivated for Events when a Class Shell is deactivated. Deactivated Learning Paths would be removed from past learners’ Plan, so we need to keep the Learning Paths active. Since we have time, I will quickly show you Events in Virtual Office. Since I don’t have any events for the new course we created, I am going to use one of Italy’s in the production system as an example. Go to production system, select Virtual Office then classes and search on: Atellica® Solution - Corso di 1° Livello - Parte 1 - Formazione da Remoto - Italia I am going to change the search to All, if there were any Events in Draft they would show here. You can see the newer events which were created in the new system, when you open, they state you cannot edit here; and the older events would be editable
